Minutes of Delegates Meetings

 

 

1.      PRESENT

3.      WELCOME BY THE CHAIRMAN 

·        The Chairman, Peter Gilby, welcomed everyone to the meeting particularly two new delegates and briefly explained its purpose stating that today was a bit of an unknown factor.  The average age of those who regularly attend delegates meetings is seventy and all are looking towards a younger element coming forward and carrying on the work of the Association.  In an ever changing world the infusion of new ideas into the Association is a matter of some importance.  At present the Association’s work is mainly in the organisation and running of Contests; Easingwold and Kiveton on behalf of others; Hardraw Scar as the re-incarnation of a famous historic contest of the Victorian era, and with the assisting of the Chairman with the running of the Ripon Contest: the members only Annual Contest and Malton Brass having fallen by the wayside.

 

4.      WHAT SHOULD THE ASSOCIATION DO

 §         Michael Stallybrass led a discussion stating that some individual bands can do something for themselves whilst others cannot.   Swinton and District Excelsior are contemplating the organisation and running of a Marching Workshop.   Other suggestions being courses for Band Secretaries, Band Treasurers and Band Chairmen.    It was brought to light that the Association used to run an annual Band Secretary’s Course, as did The Durham Band League (before its change of name), but over the years these events have run out of fashion.   Alan Martin stated that the Kirkbymoorside Band ran an annual Junior Masterclass and is quite happy to open this up to other Association Bands.

 §         A general discussion then ensued on Committees, Stewards, Officers etc. in various bands with an emphasis on networking, e-mails, network-accessing and Security, forums, and informal meetings.  

 §         Garry Hallas gave details of a successful system of agency bookings for Bands to appear at Rugby matches and suggested that this was something that the Association could do. 

  

5.      THE WAY FORWARD

·        It was generally felt that the way forward was by electronic communication.  Stuart Warriner stating that he was appreciative of the assistance offered by Garry Hallas to set up a suitable system.

 ·        John Edward referred to the borrowing of players stating that some lower section Bands were borrowing Championship Section Players which boosted their chances of success and proposed that Bands should only borrow players from a Band of their own or a lower Section.  In view of the general shortage of players and declining number of Bands this was not given too much credence.   Garry Hallas then drew attention to a Band competing at Easingwold which had many more borrowed players than the rules permitted.  By way of explanation it was stated that those running the Contest were both unaware of this and also did not know all the players competing in the contest.  Had this been brought to attention on the night the matter would have been looked into; there was a basic acceptance of the honesty and integrity of those signing the Contest Entry forms.

 ·        Attention was drawn to the lack of an ‘Own Choice’ test piece contest anywhere in the area.

 

6.      OTHER MATTERS FOR DISCUSSION

·        Peggy Tomlinson   Stated that she had received an e-mail from Paul Fielden of the Friendly Band stating that he had not received any Adjudicator’s Comments or cheque for the Hardraw Scar Contest and that the Minutes had erroneously recorded that he had not informed Ron Stirk of his change of address.   Ron Stirk accepted that he had been informed of the change of address supplied by Paul Fielden but that he had sent the comments and cheque to the address supplied by Colin Wormald who reiterated that he had clearly stated at the previous meeting that he had mistakenly supplied the wrong address.  Ron Stirk confirmed that a new cheque has now been issued and posted to the correct address.

·        .As there obviously had been a breakdown with the Association’s communications it was considered that a formal apology was in order.   Marie Williams stated that she had also received this e-mail and had sent an apology to Paul Fielden.

·        Peggy Tomlinson   Reported that Minsthorpe had been a good and successful day, enjoyed by all and that she has received a feedback of thirty-five replies to her questionnaire.

·        Ron Stirk  Stated that the application for £1,000 Grant from the Federation for Minsthorpe had netted £400.   In the event of the invoices being as he thought, there will be a total loss of £820 with£2249 income and a charge of £2251 from the College.

·        Peggy Tomlinson   Gave brief details of the Yorkshire Regional Committee meeting held on Wednesday 23rd November 2011.

o       Family of Bernard Bygrave (past Principal Cornet of Black Dyke) have offered a Trophy to a major contest. It was decided to accept the trophy for the Regional Contest.

o       Contest Entry forms received from Kapitol and sent out to all Bands. Six entries already received.

o       Robert Turnbull reported on contact with Trade Stands.  Only two spaces left to fill.

o       Scores received back from Ray Payne and now being forwarded to Adjudicators with request for their accommodation requirements.

o       Ticket Prices are £6 daytime ticket for Saturday and Sunday £8 for Championship Section.  Bandsmen get a £6 concession ticket for Championship Section on production of their Bandsman’s Pass at the ticket office.

o       St. George’s Hall.  Christine Raby off on long term sick leave.  New contact is Pam Pickard for box office details.  Many details exactly as last year.

o       Tickets to go on sale on Monday 9th January 2012.

·        Colin Wormald        Gave brief details of his and Peggy Tomlinson’s meeting with Mark Thompson and their receipt of a cheque for £800.  Ron Stirk stated that there is a loss of £299

 

DATE OF THE NEXT MEETING

·        Colin Wormald drew attention to a change of date for the Annual General Meeting on account of room availability.  It is now 31st March 2012.   

·        The next scheduled meeting is Saturday 14th January 2012 at 2.00pm in the Village Hall, Walton, and advanced notice is given that the following meeting will be on Saturday 18th February 2012
